Groups

Groups help manage workflow access by assigning a collection of workflows and roles to a named group.

Overview

The Groups feature allows you to organize multiple workflows into a single collection, making it easier to manage and execute related workflows together.

For example, if you want to update purchase prices, you can create:

  • Workflow 1: List Sales prices

  • Workflow 2: Update Sales prices

    Both workflows can be grouped under one group, such as "Update Sales Prices".

When a user selects the group in VXL Live, all workflows in that group are available for execution in sequence.


Access Requirements

  • Admin Users have default access to the Groups page.
  • Regular Users require explicit group permissions to access the Groups page and its workflows.
  • Access for regular users is determined by the roles assigned to the group.

Navigating to the Groups Page

  1. Log in to the application.
  2. Click on Administration from the top navigation bar.
  3. Select Groups from the submenu.
  4. You will be redirected to the Groups Listing page.

Groups Listing Page

The Groups Listing page provides an overview of all existing groups.

Available details:

  • Group Name
  • Number of Workflows in the group
  • Created By and Created Date
  • Modified By and Modified Date

Actions available:

  • View Workflows – Hover over the workflow count to see the workflows included in the group.
  • Edit – Modify the group’s name, workflows, or roles.
  • Delete – Permanently remove the group.
  • Search – Use the search bar to quickly find a group by name.

Creating a Group

  1. On the Groups page, click + New Group.
  2. Enter a Group Name (mandatory).
  3. Select Workflows:
    • Use the left panel to select workflows by checking the boxes.
    • Selected workflows will appear in the right panel under Selected Workflows.
  4. Assign Roles:
    • Use the Roles dropdown to select one or more roles.
    • Only users assigned to these roles will have access to the group.
    • Access level (Read, Write, or Full Access) depends on the role configuration.
  5. Click Save.

Editing a Group

  1. From the Groups listing page, locate the group you want to edit.
  2. Click the three-dot menu under Actions and select Edit.
  3. Modify the group name, workflows, or assigned roles as needed.
  4. Click Save.

Deleting a Group

  1. From the Groups listing page, locate the group to be deleted.
  2. Click the three-dot menu under Actions and select Delete.
  3. Confirm the deletion.

Example Use Case

Scenario: You manage sales price updates.

  • Create a group "Update Sales Prices".
  • Add workflows:
    1. List Sales Prices
    2. Update Sales Prices
  • Assign the "Pricing Admin" role to the group.
  • Now, any user with the "Pricing Admin" role can access and run these workflows directly from the group in VXL Live.
